Import Google Calendar events with Zapier
Updated 24 Sep 20261 min read
Calendar Import is the simplest way to bring calendar events into Bootheo. Use this Zapier setup only if your Google Workspace administrator has turned off private calendar links.
You'll need a paid Zapier plan (Webhooks by Zapier is a premium app) and a Bootheo API key.
1. Get your Bootheo API key and address
- In the dashboard, go to Settings → Integrations → Zapier.
- Create a key and copy it.
- Your Bootheo address is:
https://hmxykumcorctqajpedqf.supabase.co/functions/v1/inbound-booking
2. Zap one: new and changed events
- In Zapier, create a Zap with the trigger Google Calendar → New or Updated Event, and choose your bookings calendar.
- Add a Formatter → Date/Time → Format step to turn the event start into
YYYY-MM-DD, and two more to turn the start and end intoHH:mm(24-hour), in your time zone. - Add the action Webhooks by Zapier → POST:
- URL: your Bootheo address from step 1
- Payload type: JSON
- Data:
external_id→ the Google event IDname→ Summaryevent_date→ the formatted datestart_timeandend_time→ the formatted timesvenue_name→ Location
- Headers:
x-api-key→ your Bootheo API key
- Test and turn the Zap on.
3. Zap two: cancellations
- Create a second Zap with the trigger Google Calendar → Event Cancelled.
- Use the same Webhooks by Zapier → POST action, sending
external_id(the Google event ID),name,event_date, andstatusset tocanceled.
Good to know
- Because both Zaps send the Google event ID as
external_id, an event that changes updates the same Bootheo event instead of creating a new one. - This method doesn't bring over descriptions or guests, and doesn't include Smart fill. Calendar Import does.
- Zapier checks for cancellations on a schedule, so a deleted event can take a few minutes to show as canceled.
