Assigning Staff to Sessions
Staff assignments live inside the event detail page, under the Staffing section.
Assigning a team member
- Open the event from your dashboard.
- Scroll to the Staffing section. Unassigned team members appear in an Available list.
- Select + Assign next to the person you want.
- Choose their position, then confirm.
For a multi-day event, use the Assigning to dropdown above the list to pick a specific session, or leave it on All sessions.
Availability and conflicts
Each name in the Available list can carry a status, based on the calendar that person has set for themselves:
- Marked available / Marked tentative / Marked off this day — their own self-reported status for that date.
- Already booked [event name] — they're already assigned to a different event that day. This takes priority over anything they've marked themselves, since it's a real conflict, not a preference.
No tag at all just means they haven't set a status for that date — it isn't a signal either way.
You can still assign someone who's marked Tentative or Off, or who's already booked elsewhere — you'll get a confirmation step first, for the cases where you genuinely need them anyway.
What happens next
The assigned staff member receives a notification and must accept or decline. Their status will show as Confirmed once they've accepted.
Assigning yourself
If you're an admin assigning yourself to a session, the assignment confirms automatically — no acceptance step required.
Monitoring assignment status
Each assigned team member appears in the Staffing section with their position and current status. Use this to confirm your crew is locked in before event day — don't head into a session with unconfirmed assignments.
