The Run-of-Show

Updated 21 Jun 20261 min read

The run-of-show is the task and checklist structure for a session — what needs to happen before the event, during it, and after. It's the single source of truth your crew works from on event day.

Why it lives in Bootheo

Most operators keep this in a text thread, a Notes app, or their own head. That works until you have multiple crew members, multiple sessions, or a staff member you haven't worked with before. Bootheo puts the run-of-show inside the session where it belongs — attached to the venue, the contacts, and the crew timeline.

Three phases

The run-of-show is organized into three phases:

Pre-Event — Readiness — Everything that needs to happen before guests arrive. Load-in tasks, setup checklist items, gear checks. Completion of this phase drives your readiness score.

During — Tasks and notes for while the event is running. Timing cues, guest interaction reminders, anything your crew needs to stay on track mid-event.

Post-Event — Breakdown, load-out, and wrap tasks. What needs to happen before your crew departs.

Building your run-of-show

  1. Open the session from the event detail page.
  2. Under Run of Show, select the phase you want to build out.
  3. Add tasks and notes for that phase.
  4. Repeat for each phase.

The readiness score

Your dashboard shows a readiness percentage for every upcoming event. That score is driven by Pre-Event checklist completion — the more of your pre-event tasks you've completed and confirmed, the higher the score. A Ready event is at 100%.

What your crew sees

Assigned staff see the run-of-show inside their session view on the mobile app. No version confusion, no stale PDFs — everyone is working from the same document.
