Creating an Event
With the event/session distinction in mind, here's how to get an event into Bootheo.
When to create an event
Create an event as soon as a booking is confirmed — not before. Bootheo is your execution layer, not your pipeline. Tentative bookings live in your booking tool until the contract is signed.
Steps
- From the dashboard, go to Events → New Event.
- Enter the event name. Use something you'll recognize at a glance — client last name, company name, or event type works well. ("Johnson Wedding", "Acme Holiday Party", "Lincoln High Prom 2026")
- Enter the client name.
- Save.
Your event is created. It has no sessions yet — add those next.
Event status
Your dashboard shows the current status of every event at a glance:
- Draft — event is created but not yet confirmed
- PREP — event is confirmed but pre-event readiness is below 100%
- READY — readiness is at 100%, crew is confirmed, event is good to go
You don't manage status manually. Bootheo calculates it based on session dates, crew assignments, and run-of-show completion. When you see PREP, open the event — the dashboard will tell you exactly what needs attention.
What you won't find here
No invoicing, no contracts, no payment tracking. Those live in your booking tool. Bootheo picks up at contract signed and carries you through execution.
