Checklist Templates
Checklist templates are the task lists your crew works through around an event — built once, then applied automatically to the events they're relevant to.
The five phases
Every template belongs to one phase of the event lifecycle:
- Load-in
- Pre-event
- During
- Post-event
- Load-out
A template is a flat list of tasks for that one phase — if you need checklists for multiple phases, that's multiple templates.
Scoping a template
Each template applies either to every event ("always") or to a specific booth type — tie it to a booth kit and it only shows up on events using that kit. This is how a specialized booth type (say, a 360 rig) can carry its own load-in steps without cluttering every other event's checklist.
Building the task list
Add tasks one at a time, each with its own text, and reorder them by dragging — the order here is the order your crew sees them in.
How templates reach an event
You usually don't need to attach a checklist by hand. When an event is created, Bootheo builds its checklist automatically from whichever templates apply — every "always" template, plus any template scoped to the booth type(s) that event is using — grouped by phase. Your crew checks items off as they go, and progress rolls up per phase on the event's detail view, so you can see at a glance whether load-in is actually done before the event starts.
Adding a template to one event
To add a saved template to a single event, open the event in the mobile app, go to the Checklists tab and tap Apply template (owners and admins only). Pick a template and tap Apply. The sheet stays open with a progress message for a few seconds while the checklist is added, then closes. If that template is already on the event, Bootheo asks before adding a second copy.
Editing a template after events already exist only affects checklists generated from that point forward — it doesn't retroactively change a checklist an event has already built.
