Hardware & Software Catalog
Adding an item to your Gear library — hardware or software — takes just a couple of minutes, and a bit of extra detail up front pays off later when you need to file a fault, check a warranty, or plan a reorder.
Adding hardware
From the Hardware tab, + Add hardware opens a two-step form:
Step 1 — Identity: nickname, description, size, quantity, and (for consumables) a low-stock alert threshold — set this and you'll get a banner on the Hardware tab once you're at or under it.
Step 2 — Provenance: serial number, vendor, purchase date (exact date, year only, or unknown — whatever you actually know), purchase price and currency, condition (Excellent, Good, Fair, Needs repair), and status (Ready, Fault, or Retired — "Low" is set automatically from quantity, not chosen manually).
You can also link an item to Bootheo's shared hardware catalog by make and model. If your model isn't in the catalog yet, it shows as Pending review rather than blocking you — you can still use the item normally while it's pending.
Adding software
From the Software tab, + Add software captures vendor, category, license type (Perpetual, Subscription, or Seat), renewal date, seats total and seats used, cost per period and billing cycle (Monthly, Annual, or One-time), plus a website and notes field. Seats total/used is there so you can see at a glance whether you have room for another crew member on a shared license.
Receipts
Each hardware item can carry one or more receipts — a purchase, repair, or warranty document with its own vendor, price, date, and a short description of what it's for. Attach these as you go rather than trying to reconstruct them later; they're the record you'll want on hand if a warranty claim comes up.
