White Label Board: Engagements, Contact Reveal & Ratings
Expressing interest in a listing — or having someone express interest in yours — creates an engagement. This article covers everything that happens after that: accepting or declining, coordinating through notes, unlocking contact info, and rating each other once the work is done.
Booker and fulfiller
Every engagement has a booker (the org that needs coverage) and a fulfiller (the org providing it). Which one you are depends on which listing started the engagement:
- On a Need listing, the poster is the booker and whoever expressed interest is the fulfiller.
- On an Offer listing, the poster is the fulfiller and whoever reached out is the booker.
Your engagements page shows all of this from your organization's point of view — you'll see your role, the counterparty's name, and the listing it came from.
From pending to accepted
A new engagement starts pending. The listing owner reviews it and either:
- Accepts — the engagement moves to accepted, and if it was raised against a Need listing, that listing is automatically marked filled so other interested organizations stop seeing it as open.
- Declines — the engagement closes out; nothing else happens.
The organization that raised the interest can cancel a pending engagement at any time before it's accepted. Once accepted, either side can still cancel if plans fall through.
Coordinating through notes
Each engagement has a notes thread for back-and-forth coordination — logistics, timing, anything that doesn't belong in the original listing. Notes are append-only: there's no edit or delete, so the thread stays a straightforward record of what was actually said.
Unlocking contact info
Neither side's email is visible anywhere on the Board or in a pending engagement. Once an engagement reaches accepted (or later, completed), a Show contact button appears on the engagement card. Clicking it reveals the counterparty's contact email for that engagement — it's a deliberate click, not something that loads automatically, and it's specific to organizations you actually have a live engagement with.
Marking completed and rating each other
Once the work is done, either side can mark the engagement completed. This unlocks a one-time rating for each party — you're rating the counterparty's performance on this specific engagement, and the fields differ by role:
If you were the booker, you rate the fulfiller on:
- On-time arrival
- Gear matched the checklist
- Client-facing professionalism
- Would you use them again (yes/no)
If you were the fulfiller, you rate the booker on:
- Brief accuracy
- Venue details correct
Both sides can add an optional note (up to 280 characters) with their rating. Each side rates once per engagement — there's no editing a rating after you submit it.
These ratings are what build the reliability score on an organization's public profile (see White Label Board: Opting In & Service Areas) — a score only appears once an organization has 3 or more completed, rated engagements.
A different reliability score than your staff's
This is a separate system from the staff reliability score covered in Badges and Recognition under Settings → My Stats. That one tracks an individual staff member's on-time arrival and setup performance across your own events. The White Label Board score covers your organization's track record with other operators on marketplace engagements. The two don't feed each other.
