Creating Your First Event
Before you create anything, one distinction worth locking in — it'll make everything else in Bootheo make sense.
Events vs. Sessions
An event is the engagement — the wedding, the corporate party, the school dance. It maps to a contract.
A session is a physical appearance — a specific date, time, venue, and booth setup. One event can have multiple sessions. A two-night corporate conference is one event with two sessions. A wedding with a ceremony and a separate after-party is one event with two sessions.
Everything in Bootheo — staff assignments, the crew timeline, Live Ops, gear — lives at the session level. The event is just the container.
Creating an event
- From the dashboard, go to Events → New Event.
- Enter the event name and client name.
- Save.
That's your event. Now add a session.
Adding a session
- Open the event and select Add Session.
- Enter the date, start time, and end time.
- Add the venue.
- Add day-of contacts — venue coordinator, client contact, anyone your crew might need to reach.
- Save.
Assigning staff
- Inside the session, scroll to the Staffing section.
- Select a team member from the Assign staff... dropdown.
- Select their position.
- Select + Assign.
They'll receive a notification and must accept or decline. Their status shows as Confirmed once accepted.
Your first event is ready. On event day, everything runs through Live Ops.
